Migrating from HouseCall Pro to Exoserva: Step-by-Step Guide

Why Contractors Switch from HouseCall Pro

HouseCall Pro serves hundreds of thousands of contractors and does many things well. Contractors who move to Exoserva are typically motivated by one or more of the following:

AI-native features they can't find in HCP. Exoserva is built around AI capabilities — voice AI for after-hours calls, intelligent dispatch, automated lead handling — that don't exist in HouseCall Pro. For contractors who want to compete on responsiveness and automation, the gap matters.

Pricing and value at scale. As a business grows, per-user or per-job pricing models can become expensive. Contractors with larger teams often find Exoserva's economics more favorable as they scale.

Integration needs. Exoserva's integrations with QuickBooks, Stripe, Google Calendar, DocuSign, Thumbtack, Yelp, and Google Business Profile sometimes fit a contractor's existing software stack better than HCP's integration set.

Business intelligence. Contractors who want more visibility into job profitability, technician performance, and lead source ROI sometimes outgrow HCP's reporting capabilities.

Whatever the reason, the decision to switch is only the beginning. The actual migration — data, team habits, workflows — is where the work happens.


How Data Moves from HouseCall Pro

Exoserva does not connect to your HouseCall Pro account, and nothing syncs between the two systems. The migration is a one-time transfer: you export CSV files from HCP and upload them in Exoserva's Migration Hub. The Migration Hub accepts CSV files only — not Excel or JSON — so export CSV from HCP directly.

Customers

Export your customer list from HCP as a CSV — names, phone numbers, emails, and service addresses. Import customers first: jobs, invoices, and estimates are matched to customers that already exist in Exoserva. When you start Exoserva, your HCP customer database is the starting point, not a blank slate.

Jobs and Appointments

Export jobs from HCP as a CSV, including job number, status, scheduled date, and assigned employees. Imported jobs give technicians their scheduled work in Exoserva without someone rebuilding the calendar by hand. Because there is no sync, a job created in HCP after your export will not appear in Exoserva until you export and import it, and a change made in HCP after the export has to be made in Exoserva as well.

Invoices and Estimates

Invoice and estimate history exports from HCP as CSV files and imports the same way, linked to the customers you imported first.

Column Mapping

When you upload a file, the wizard matches its columns to Exoserva's fields using built-in column-name presets that recognise HouseCall Pro export headers (it also recognises ServiceTitan, Jobber, Workiz, and FieldEdge exports). Review the suggested mapping, fix anything it didn't match, and then run the import.


Migration Process: Phase by Phase

Phase 1: Export and Import (Week 1)

Export your data from HCP. Export customers, jobs, invoices, estimates, and any other records you want to keep as CSV files.

Upload the files in the Migration Hub. In Exoserva, open the Migration Hub and upload the .csv files, starting with customers. HCP stays your operating system of record while Exoserva is configured and tested.

Review the column mapping and import. The wizard pre-fills the mapping from HouseCall Pro's column names. Check it, adjust any column it didn't match, then run the import.

Verify the import. Check a sample of customer records — 20-30 is usually sufficient — to confirm names, addresses, contact info, and service history transferred correctly. Check a sample of open jobs to confirm scheduled dates, assigned technicians, and job details are accurate.

Phase 2: Configuration and Training (Weeks 1-2)

Configure Exoserva for your operation. While HCP is still your primary system, set up Exoserva's job types, service categories, pricing, team members, and integrations. The goal is to have Exoserva fully configured before anyone is relying on it.

Train your team. Dispatcher training focuses on the scheduling and dispatch workflow. Technician training focuses on the mobile app. Office staff training covers invoicing, customer records, and reporting. Most contractors need 3-5 hours of training per role — the interface is intuitive, but habits need building.

Run parallel for a short, defined period. Agree on a parallel period (usually 1-2 weeks) and keep it short. Nothing syncs between the systems, so new jobs must be entered in both, or re-exported from HCP and imported before cutover. This is your safety net — if something goes wrong in Exoserva, HCP is still complete and accurate.

Phase 3: Cutover (Week 3)

Choose a quiet cutover date. Pick a slow day after which Exoserva is the primary system. Communicate this date to your team clearly.

Run a final export and import. Right before cutover, export the records created in HCP since your first export and import them into Exoserva, and carry over by hand any changes made in HCP to records you had already imported. From this point Exoserva is the source of truth — nothing flows back to HCP.

New jobs go in Exoserva only. After cutover, your team enters jobs, manages customers, and processes invoices in Exoserva. HCP remains accessible for looking up historical records if needed.

Cancel HCP subscription on your schedule. Don't cancel until you're confident. Most contractors keep HCP active for 30-60 days after cutover as a fallback reference, then cancel when comfortable. Download any job photos and documents you want to keep before you cancel.


What Doesn't Transfer Automatically

Photos, documents, and attachments — job photos, signed documents, and equipment photos are not part of the CSV export. Download the ones you need from HCP before you cancel.

Anything created or changed in HCP after your export — there is no ongoing sync, so new records need to be exported and imported again, and edits to records you already imported need to be repeated in Exoserva.

Custom report configurations — any custom reporting views you built in HCP stay in HCP. You'll recreate relevant reports in Exoserva's reporting tools.

Automation rules and workflows — automations configured in HCP (follow-up reminders, notification settings) need to be reconfigured in Exoserva. These are typically quick to set up but can't be imported automatically.

Saved message templates — email and SMS templates from HCP need to be created in Exoserva's communication settings.

User login credentials — team members need new Exoserva accounts. This is straightforward but needs to happen before cutover day so no one is waiting for access.


What to Expect During the Transition

The first week in any new system feels slower. This is normal and not a sign of a bad decision. Muscle memory builds within 2-3 weeks. Teams who train proactively during the parallel period adapt fastest.

Some customers will notice the transition. The customer-facing change is minimal — they're still getting their appointment confirmations and invoices — but the look of communications may change slightly. This is rarely a problem in practice.

Questions will come up. Budget 30-60 minutes of support time per week during the transition period. Exoserva's support team is available to help with configuration questions and edge cases as you encounter them.


FAQ

Can we run HouseCall Pro and Exoserva indefinitely, with sync keeping both updated? No. Exoserva has no live connection to HouseCall Pro — the migration is a one-time CSV transfer, not an ongoing or two-way sync. Records created in HCP after your export have to be re-exported and imported, which is why the parallel period should be short and the cutover planned for a quiet day.

What happens to our HCP reviews and ratings? HouseCall Pro reviews are hosted on HCP's platform. They don't transfer to Exoserva or to Google/Yelp. Your HCP profile remains at whatever review status it had. Reviews on external platforms (Google Business Profile, Yelp) are unaffected by the migration.

How do we handle jobs that are in progress during cutover? Jobs already open and in progress at cutover time can be managed either way — complete them in HCP or transition them to Exoserva if the technician is comfortable. Most contractors handle in-progress jobs in whichever system they're currently managing them, then fully switch to Exoserva for new jobs going forward.
