TL;DR:

  • Exoserva provisions a dedicated business phone number for you — you search available numbers and purchase directly from settings
  • Inbound calls are handled by AI voice that can book appointments, answer common questions, take messages, and transfer to a live person
  • The AI detects when a caller is speaking mid-response and adjusts — no talking over customers
  • Call flow includes configurable options: AI response, live transfer, voicemail, and fallback handling
  • A2P compliance is built in for business messaging (required for text message delivery on US carriers)
  • Setup takes about 30 minutes for most businesses

The Problem with "Just Use Your Cell Phone"

Most small contractors start out giving customers a cell phone number. It works until it doesn't.

Once you have more than a handful of technicians and jobs coming in simultaneously, a personal cell becomes a bottleneck. Calls during jobs go unanswered. After-hours calls go to voicemail and sit there until morning. You don't know which calls were for jobs, which were vendor inquiries, and which were robocalls until you scroll through the log manually.

The contractors who grow past this point invest in a real business phone system. Historically, that meant a PBX, a VoIP service, and a part-time receptionist or answering service. Exoserva's AI voice system replaces that stack — a business number, AI handling of inbound calls, and integration with your job and customer data — all configured from your Exoserva account.

Getting Your Business Phone Number

Searching for Available Numbers

In Exoserva, go to Settings → Phone → Provision Number. You can search for available phone numbers by:

  • Area code — match your local market or service area
  • Prefix — if you want a specific exchange
  • Toll-free — if your business markets nationally or you want the perception of scale

The search returns available numbers from Twilio's number inventory. You'll see local and toll-free options, and you can filter to find a number that suits your branding needs (some businesses want a memorable local number; others prioritize toll-free).

Purchasing and Activating

Select the number you want and confirm the purchase. The number activates within minutes and is ready to receive calls. Exoserva handles the Twilio account infrastructure — you don't need your own Twilio account or developer credentials.

Your new number can be forwarded from your existing business number if you want to keep your current number visible while routing through Exoserva's system.

How AI Voice Handles Calls

The Call Flow

When a customer calls your Exoserva number, here's what happens:

  1. Call received — Exoserva's system answers the call and begins the AI voice session
  2. Greeting — The AI delivers a configured greeting (your business name, a brief welcome message)
  3. Customer speaks — The customer states their reason for calling
  4. AI processes and responds — The AI understands the request and responds appropriately
  5. Action taken — Depending on the request: appointment booking, message taking, live transfer, or voicemail

The entire interaction happens in real time, with the AI generating natural responses based on what the customer says.

Barge-In Detection

One of the most frustrating experiences with older automated phone systems is when the system keeps talking while you're trying to speak. Exoserva's voice AI includes barge-in detection — it recognizes when a caller starts speaking mid-response and stops talking to let them finish.

This makes the interaction feel conversational rather than robotic. The customer doesn't have to wait for a long response to finish before they can speak.

What the AI Can Handle

Appointment booking — the AI can check technician availability and schedule appointments based on the caller's requested service, address, and preferred time. The job goes directly into Exoserva.

Common questions — service area, pricing, hours of operation, and other frequently asked questions can be configured as AI knowledge so callers get instant answers rather than being put on hold.

Message taking — for calls the AI can't fully resolve, it takes a structured message (name, callback number, issue description) and creates a follow-up record in Exoserva.

Live transfer — when a caller needs a human, the AI transfers the call to the appropriate team member or extension. Transfer rules can be configured by time of day, request type, or team availability.

Voicemail — for after-hours calls or when no one is available for transfer, the AI routes to voicemail with a clear message setting expectations for callback.

Fallback handling — if the AI encounters a situation outside its configured scope, it falls back gracefully rather than looping or confusing the caller.

Call State Management

Exoserva maintains state throughout the call. If a caller says "I already called about this last week," the AI can reference customer history (if the caller is a recognized customer) to provide context-aware responses. Call state also supports multi-turn conversations — the AI remembers what was said earlier in the same call so customers don't have to repeat themselves.

Call Flow Configuration

Setting Up Your Call Flow

In Exoserva's phone settings, you configure how different types of calls are handled:

Business hours vs. after-hours — different rules for each period. During business hours, you might route immediately to live staff after a brief AI greeting. After hours, the AI handles the full call and books appointments or takes messages.

Emergency call detection — configure keywords (water leak, no heat, no power, gas smell) that trigger immediate priority handling. Emergency calls can skip the standard flow and ring a specific technician or manager directly.

Service type routing — if you offer multiple trades (HVAC, plumbing, electrical), configure routing rules so HVAC calls go to HVAC dispatch and plumbing calls go to plumbing dispatch.

TwiML and Call Instructions

Under the hood, Exoserva generates the call instructions that control what happens at each step. You don't write TwiML directly — the configuration interface handles it — but understanding the structure helps with troubleshooting.

Common actions:

  • Say — the AI speaks a response
  • Transfer — the call is transferred to a number or extension
  • Voicemail — the caller is routed to voicemail recording
  • Fallback — a backup action if the primary action fails

A2P Compliance for Text Messaging

If your business sends text messages through Exoserva's phone system (appointment confirmations, follow-ups, ETA notifications), you need to be aware of A2P (Application-to-Person) compliance.

US mobile carriers require businesses sending messages programmatically to register through an A2P compliance process. Without this registration, your messages may be filtered or blocked by carrier spam detection — they simply won't arrive.

Exoserva's phone system is built with A2P compliance in mind. During setup, you'll complete the registration process that verifies your business identity with carriers. This is a one-time process that unlocks reliable message delivery.

For ISV (Independent Software Vendor) compliance — relevant if you're operating Exoserva as part of a multi-location or franchise operation — Exoserva's compliance architecture supports this as well.

FAQ

Can I keep my existing business phone number? You can keep your existing number as the public-facing number by configuring call forwarding to your Exoserva provisioned number. Customers continue calling the number they know; Exoserva handles the call from there.

What happens if the AI can't understand what a caller is saying? If the AI has difficulty processing a caller's input after a couple of attempts, the call flow moves to the configured fallback action — typically live transfer or voicemail. The AI doesn't loop indefinitely. Callers always have a clear path to a resolution.

Does the AI have a different voice or accent depending on my region? The AI voice is configured during setup. You can select from available voices to find one that fits your brand. Most businesses choose a professional, neutral English voice that works well across their service area.
